Learn About Your Income & Expenses Reports
Every organization wants to slice its financial picture a little differently. Maybe you want to see how revenue and expenses trended month by month. Maybe you run several programs and need to compare them side by side. Or maybe you track a handful of events or initiatives with tags and want a report that lines them up in columns. Your MonkeyPod has a report for each of these needs: Income & Expenses by Month, Income & Expenses by Class, and Income & Expenses by Tag.
This article walks through what each report shows, how to configure it, and how to decide which one fits the question you're trying to answer.

Which report should I use?
- Income & Expenses by Month: Best when you want to see revenue and expenses trended over a fiscal year, split into unrestricted and restricted columns for each month. Optionally narrow it to a single class or tag.
- Income & Expenses by Class: Best when you want to compare programs or departments side by side, with a column for each class.
- Income & Expenses by Tag: Best when you want to compare specific events, campaigns, or other tagged initiatives side by side, with a column for each tag.
- Income & Expenses by Restricted Fund: Best when you want to compare your restricted funds side by side, including fund balances and grant releases. This one's covered in its own article: Learn About Your Income and Expense by Restricted Fund Report.
For example, say you run an arts nonprofit with three program areas (Concerts, Education & Training, and Community Development) tracked as classes, and you also tag revenue and expenses for individual fundraising events. If your board wants to see how each program area is performing this fiscal year, Income & Expenses by Class is the right tool. If your event committee wants to compare specific tagged fundraisers, Income & Expenses by Tag will get you there instead.
Where can I find these reports?
Choose Reports from the main menu, then look under the Accounting & Finance heading for Income & Expenses by Month, Income & Expenses by Class, or Income & Expenses by Tag.

Income & Expenses by Month
The Income & Expenses by Month report shows your revenue and expenses for a fiscal year, broken down by month, with each month split into Unrestricted, Restricted, and Total columns. It's similar to your Statement of Activities, but it ignores non-operating adjusting entries, which can make it more useful for day-to-day management.
Report Settings for this report include:
- Fiscal Year: Choose the fiscal year you'd like the report to cover.
- Report Format: Choose Detailed to list every account, or Summary to aggregate at the top account level.
- Filter by class (optional): Narrow the report to a single class.
- Filter by tag (optional): Narrow the report to a single tag.
Because this report is meant to show a full fiscal year at a glance, its class and tag filters accept only one selection at a time. If you need to compare several classes or tags side by side, use Income & Expenses by Class or Income & Expenses by Tag instead.
Income & Expenses by Class
This report provides a column for each class so that you can compare programs or departments over any chosen time period.
Report Settings for this report include:
- Timespan: Choose the period you'd like the report to cover, such as This Fiscal Year, Last Month, or Custom dates.
- Show only these classes (optional): By default, the report includes all your classes. Use this filter to narrow the report down to just the classes you want to see (multiple classes can be selected here). Selecting a parent class automatically includes its sub-classes.
- Include unclassified activity: Once you've selected at least one class, this checkbox appears so you can add a column for transactions that weren't assigned to any class.
For example, if your organization tracks Fundraising, Management and General, and several program classes, you could narrow the report to just your program classes to see how each one is performing this quarter, without the overhead and fundraising columns cluttering the view.
Income & Expenses by Tag
This report works much like Income & Expenses by Class, but with tags instead: you choose which tags to include, and each one becomes its own column.
Report Settings for this report include:
- Timespan: Choose the period you'd like the report to cover, same options as above.
- Tags to include: Select up to 20 tags from a dropdown grouped by tag category.
A note on double-counting: A single transaction line can carry more than one tag. If a line is tagged with several of the tags you've selected, it will appear under each of those tag columns, but the Total column counts it only once. That means your tag columns can add up to more than the total. You'll see a reminder about this at the top of the report whenever you've selected more than one tag.
How can I save a report to run again later?
Income & Expenses by Class and Income & Expenses by Tag reports can be saved for quick access later. Once you've set up your filters and run a report, click Save Report to name and save your current settings. It will then appear under Saved Reports in your Reports menu, where other MonkeyPod users on your team with permission to view financial reports can access it.

How can I export my report?
To export any of the Income & Expenses reports, click the Download Excel button in the Report tab to download the report as an Excel (.xlsx) file.

Frequently Asked Questions
Why doesn't Income & Expenses by Tag include any tags by default?
Many organizations have hundreds of tags, so starting with all of them would make the report slow and unwieldy. Instead, you choose up to 20 tags to include, and each becomes its own column.
I selected several tags and the columns don't add up to the Total. Is something wrong?
No, that's expected if multiple tags are used. A transaction line tagged with more than one of your selected tags shows up under each matching column, but the Total column only counts it once so your overall figures stay accurate.
How is Income & Expenses by Class different from Income & Expenses by Restricted Fund?
Income & Expenses by Class compares your classes (typically programs or departments) side by side. Income & Expenses by Restricted Fund instead compares your restricted funds side by side, showing contributions, releases, and fund balances for each one.
